Basic tasks in OneNote for Windows 10

To assist you in getting started with OneNote for Windows 10, this article explains the fundamental tasks and instructions. If you can’t find what you’re looking for here, try searching for it using the Search box in the upper right corner of this page.

Create a new notebook

OneNote for Windows 10 is pre-installed with the operating system. When you use it for the first time, it automatically creates a default notebook for you. You may use this basic notebook and customize it with your own pages, or you can start again with a completely new notebook at any moment.

  1. Whenever you are on a page, click theShow Notebooksbutton. Plus Notebook may be found at the bottom of the pane that displays. Create a new notebook by entering a name for it and clicking the Create Notebook button. In this case, OneNote changes to the new notebook, which has a new section and a new blank page

Switch notebooks

To switch between numerous notebooks, do the following:

  1. Whenever you are on a page, click theShow Notebooksbutton. Select the name of the notebook you’d want to switch to from the drop-down menu that displays.

Note: If you don’t find the notebook you’re looking for, click on Other Notebooks to view more options.

Type or write notes

Make one or more of the following options about whether to take typed or handwritten notes:

  • To create a page title, click or press the page header at the top of the page (above the date and time stamp). To begin typing, click or press anywhere on the current page and type
  • To create a new note on the same page, click or press anyplace else on the page and then start typing
  • Use the pen or stylus that came with your device to handwrite notes straight on a touchscreen without having to use your fingers. If you wish to draw or write with your finger, click theDrawtab and then click or tap theDraw with Mouse or Touchicon
  • Otherwise, click or press theDraw with Touchicon.

Save your notes

OneNote for Windows 10 does not have a Save button, which is a disappointment. The reason for this is that OneNote automatically saves and syncs everything for you, regardless of how little or significant your modifications are. You may undo something you’ve recently added or altered by clicking on the Undobutton on the top right corner of the program window or by tapping it.

Select text with touch

In order to select text on a page, perform the following steps:

  1. Using two fingers, pick the text you wish to use. By dragging the two selection handles to the beginning and finish of the text you wish to pick, you may make adjustments to your selection.

When you have picked a line or paragraph of text, you have the option to cut, copy, format, relocate, or remove it.

Format text

To alter the look of text, use the following syntax:

  1. Select the text you wish to format (with a mouse and keyboard, click and drag
  2. With a touch device, double-tap a word and drag the selection handles)
  3. Click and drag the selection handles to the desired position. Select the formatting you want to use on the Hometab (font, font size, bold, italic, underlining, color, lists, indents, and so on) and click OK.

Whenever you decide to change your mind about any formatting you have done, simply click or press the Undobutton located at the upper right corner of the app window.

Highlight your notes with ink

In order to draw attention to important information in your notes:

  1. Using the Mouse or the Touchicon, select theDraw button on theDrawtab. You may select a color and thickness for your highlighter by selecting the highlighter symbol on the left. To highlight any area of your notes, you may use the pen or stylus that came with your device, or you can use your finger or a mouse.

Note: When you’re finished drawing, click or press theDraw with Mouse or Touch button one again to switch off the drawing feature. The Eraserbutton on theDrawtab may be used to delete whatever you’ve drawn or highlighted by clicking or tapping on it. To delete the highlighter strokes that you don’t want, pick the eraser tool and touch on them.

Add tags

The use of tags allows you to visually highlight and prioritize essential notes so that you can simply follow up on them later on.

  1. Any line of text you’ve typed or written may be tagged with a note by simply clicking or tapping it. Select one of the following options from the Hometab:
  • A check box will appear in front of the line of text when you click or press theTo Dotag. If you have a list of chores that you need to perform, this is a valuable feature to have. Select one of the additional tags (Important, Question, Critical, Contact, Address, or Phone Number) by clicking or tapping on the down arrow next to theTo Doicon on the toolbar.

Please keep in mind that theTo Dotag is interactive. You may use the tag to check (or uncheck) the box to keep your To Do lists up to date by clicking or tapping on it.

Add links

OneNote for Windows 10 allows you to format text so that it appears as a link.

  1. Select the text you wish to format (with a mouse and keyboard, click and drag
  2. With a touch device, double-tap a word and drag the selection handles)
  3. Click and drag the selection handles to the desired position. Insert a link by clicking or tapping on it. In case it is required, modify the text displayed in theText to displaybox. Insert the URL into theAddressbox by clicking or tapping the Insert button

It is important to remember that once you begin typing a URL in your notes (for example, in a notebook), OneNote immediately converts that text into a link. When you tap or click on a formatted link, the link’s destination is instantly opened in your browser.

Insert a picture

  2. Camera may be found on the Hometab by clicking or tapping on it. Allow OneNote to use your computer’s camera if you are prompted
  3. When the live image shows on the screen of your camera, tap the screen to take a photo. Insert All (or Insert All All) may be done by clicking or tapping on the image that was recorded.

Please keep in mind that if your device has a camera and you do not see the optionCamera, this means that OneNote does not have authorization to utilize it.

  1. On any page, choose the area where you wish to place a table by tapping it. Table may be accessed by selecting it from the Insertmenu. OneNote produces a tiny table with one row and two columns
  2. This is the default setting. Start typing in the first cell by tapping it.

You may use your keyboard’s Tab key to advance to the next column (or to create a new column). Then, in the final cell on the right, set the pointer and hit Enter to add a new row of cells to the spreadsheet. If you don’t have access to a keyboard, you may alter or format the table by clicking theTabletab.

Add more pages

You can write as many notes as you like on a single page, but having more pages in your notebook will make it easier to keep track of everything. To create a new page, complete the following steps:

  1. Click or tap+ Page, which is located at the bottom of the page list on the left side of the app window. If you don’t see this button, first click or tap theShow Notebooksbuttonnear the top left of the OneNote app window

Print notes

One of the most appealing aspects of OneNote is that you never have to print anything. All of your notes are simply searchable, and they are simple to distribute over the internet. To make a physical copy of any page in your notebook whenever you need one, simply follow these steps:

  1. Make a selection on the page you wish to print
  2. Click or press the.button in the top right corner of the app window, and then pick Print from the drop-down menu

The Beginner’s Guide to OneNote in Windows 10

In order to reflect both the visual aesthetic and the enhanced functionality of Windows 10, Microsoft has redesigned several of its internal applications. The new OneNote is no exception to this trend. You’ll recognize many of the capabilities given by Microsoft’s solution to rapid note taking if you’re already a loyal user of rival programs such as the Evernote desktop software, which is available for free. Long-time users of the original OneNote, on the other hand, may still want some assistance navigating the new design, which is why we’re here to assist you.

It is the latter that we are discussing.

As part of the stock edition of Windows 10 (including Home, Pro, and Enterprise), OneNote is pre-installed, and as long as you’ve upgraded to the most recent version of Microsoft’s operating system, the OneNote app icon will display immediately in the Start Menu. If you want to start OneNote, all you have to do is scroll down the menu and click on the “OneNote” tile that is indicated here: For those who are just getting started with OneNote (or any other Office 365 products), you’ll be greeted by an error message stating that your account will only be available in ‘Read-Only’ mode until you either sign up for a free trial or purchase a monthly subscription for $6.99 every 30 days ($9.99 for the “Home” edition, which allows you to store up to four users on the same account at the same time).

But if you are coming in with a Microsoft account rather than a local account, you will discover that OneNote for Windows 10 is fully functioning without the need to sign up for any additional subscriptions if you simply click past this message.

After your account has been authenticated, you will be directed into OneNote, where you will be able to begin writing notes of your own.

You may create as many “Notebooks” as you like via the left-hand menu.

Starting with the + symbol next to “Recent Notes,” or simply clicking in the middle of the screen, the first Section of your Note will be automatically created and displayed.

Manage Your Pages

To get started with managing your pages, it’s helpful to think of each one as its own whiteboard, complete with a variety of accessible extensions and extra features that may be customized to meet your individual requirements and requirements. As previously said, a Notebook is comprised of the complete amount of your Sections, and inside each Section, you have the ability to create a plethora of pages as you see fit. Not only that, but you may designate additional pages as “Subpages” for each list of pages, which will link a lower-level page to another as if they were both part of the same section as the first.

Each area may then be divided into pages, which for the sake of this tutorial have been named as “To-Do List,” “Work,” “Groceries,” and “Project Board” in the appropriate sections.

Each page thus serves as a stand-alone free area where you or other users with access to the notebook can add or alter any amount of information to suit your preferences.

When you’ve finished setting up your pages and are ready to begin creating notes of your own, you’ll notice that OneNote operates in a manner similar to a’scrapbook,’ where text, images, and even drawings can all be spliced together in the same note to create a corkboard of various ideas and brainstormed concepts in a single location. OneNote will not prevent you from putting photos on top of text if you choose to do so.

OneNote is tablet and stylus compatible, and you can even use your mouse if you’re in the mood to be very artistic while working in the program.

HomeFirst and first, there is the Home bar.

The “Label” menu, which may be accessed by clicking on the arrow marked below, is also located here: The labels “Question,” “Contact,” and “Address” stickers can be applied to any type of content within OneNote (words, images, drawings, and so on), and you can see in our example that we’ve labeled the dummy text section with the “Question,” “Contact,” and “Address” stickers to provide better visual organization cues.

  1. Without even having to read the text, everyone who is sharing notes will be able to tell exactly which category the information they’re looking at comes into without having to look it up beforehand.
  2. The following options will be available once a photo has been added: remove it from the note, copy it to another place in the message, delete it or change the file that is uploaded using the drop-down menu marked below.
  3. Alternatively, if you prefer to order things yourself, you may manually adjust the size of each individual entry by dragging the slider located in the top-right hand corner of each independent entry.
  4. This page provides a few simple tools that you may use to doodle on photographs to overlay on top of them, direct people from one paragraph to the next, or simply leave a brief note for other collaborators working on the same project.
  5. ViewLast but not least, we have the View tab, which also happens to be the tiniest in terms of the number of options accessible.

You get precisely what you need here, with nothing additional thrown in for good measure. It’s simple, clean, and effective.

Settings

For the first time, you’ll need to choose the menu button in the top left corner of the OneNote window to access the Settings menu. The “Settings” icon will display in the bottom left-hand corner of the screen from this point on. By selecting this, you’ll be led to the following menu, which will appear on the right side of the main OneNote window when you click it. Options The Options page has options that allow you to choose which OneDrive account all of your Notes are synced to. This is critical since it is through this email that all of your Notebooks and pages will be immediately synced to the cloud whenever you make any changes.

In addition, you may disable the automated syncing process, in which case any saves you make will be tethered to your local computer and uploads to the cloud will only take place when you actively save a file to the cloud.

In its default configuration, this setting simply makes any notes you access from another machine load faster the next time you boot it up by downloading larger files and pictures from your external server to the system you’re working on rather than having to reload them from the external server every time the file is closed or reopened.

  • Even if you decide to create a second account, it will only be possible to do so if you are using an enterprise (company) or school-based email address that has already purchased an Office 365 subscription.

  • As a result, Microsoft records everything you do in OneNote (or any other connected Office 365 applications) including where your mouse moves, what you click on, and how often you use any particular feature of the software.
  • Center for Belief The “Trust Center” option in the OneNote settings menu is by far the most unclear of all the options available.

Despite the fact that Microsoft has not said what they want to use this information for or what they intend to do with it beyond “developing improvements to Office,” we recommend that you leave both of these options toggled off unless you have a special reason for doing so.

Sharing

The time has come for you to share your masterpiece with the rest of the world now that your letter has been completed. The “Share” button located in the top right corner of OneNote works in the same way as the File Sharing feature integrated into the Windows 10 File Explorer, bringing up a menu containing the option to publish your creation on the web through any apps you’ve previously downloaded from the Windows Store or through the web browser. This time, we have the option of sharing through the Windows Mail client, to Facebook, via Gmail directly, or to a second OneNote account holder on a different machine, among other options.

  1. To do so, locate the item you wish to share and right-click it to bring up the following submenu from the context menu.
  2. This menu also has the option to “Pin to Start,” which will take any Page or Notebook and send the entire thing to your Start Menu in the form of a shortcut that you can access with a single click.
  3. You may use it to keep track of all your everyday activities, and it makes working and developing projects with team members enjoyable, straightforward, and globally accessible from mobile devices as well as desktop computers.

OneNote vs OneNote for Windows 10, what’s the difference?

If you’ve ever gone through the list of installed programs on your Windows 10 computer, you might have noticed that there are two different versions of OneNote. You shouldn’t be too perplexed, to be honest. In the event that you had previously purchased and installed the Microsoft 365 programs (Word, Excel, and PowerPoint) on your computer, you would have received a dedicated OneNote software as part of your Office purchase. However, most new PCs also come pre-installed with a different OneNote application (known as OneNote for Windows 10) called OneNote for Windows 10.

OneNote for Windows 10 is a specific desktop application that can be downloaded through the Microsoft Store, whereas OneNote is a conventional Win32 software that can be downloaded from the Internet (like Google Chrome.) However, the distinctions do not stop there.

Today, we’ll go over what makes these two applications stand out from the crowd.

OneNote

First and foremost, there’s OneNote, which is also known as the OneNote desktop application. This version of OneNote is included with the Office 2016, Office 2019, and Office 2013 editions of Microsoft Office, although it may also be downloaded separately from the Microsoft website. In the past, this desktop application was known as OneNote 2016, OneNote 2013, and other names, but it is now just referred to as “OneNote.” When you first launch the OneNote desktop application, you’ll note that it appears quite similar to the other Microsoft 365 apps in terms of design.

  1. It also includes brightly colored section tabs, and everything is shown vertically across the screen, with a list of page tabs provided on the right side of the screen for convenience.
  2. Additionally, in order to update OneNote, you’ll need to do so in the same way that you would any other Microsoft 365 application.
  3. Then, next to Office Updates, you’ll need to select theUpdate Optionsbutton, which will be followed by theUpdate Nowbutton to complete the process.
  4. Your disk-based notebooks will not be able to be read by the OneNote for Windows 10 application.

OneNote for Windows 10

Now, let’s talk about OneNote for Windows 10. Windows 10 comes with this version of OneNote pre-installed on all editions of the operating system, and it is also accessible as a free download from the Microsoft Store. The fact that this app does not have a ribbon distinguishes it from the OneNote desktop version on the surface level. Instead, you’ll notice that it has a single-line interface that is smaller and located at the top of the screen. Furthermore, the navigation pane and navigation of Notebooks operate in a somewhat different manner.

The list of page tabs is also displayed to the right of the section tabs, to the left of the section title.

Compared to the conventional OneNote desktop application, it is updated on a far more frequent basis.

To obtain the latest updates, go to the Downloads and updates box and select Get updates in the top right corner.

The differences

Finally, we’ll discuss the distinctions between the two perspectives. First and foremost, there are some critical caveats concerning features that are only available in the OneNote desktop application. If you’re using OneNote in conjunction with other applications such as Outlook or Teams, you’ll welcome these enhancements.

Some of the features that work in conjunction with the rest of Microsoft 365 are only available on the desktop version of the application. We’ve compiled a list of the most important ones below.

  • Embedding Outlook tasks in a document Outlook allows you to send emails and schedule meetings. Organizing your notes by using custom tags
  • Using templates to create web sites
  • Keeping notebooks on your computer’s hard disk rather than on the cloud

Now, let’s talk about OneNote for Windows 10. It is expected that regular users would benefit from the additional capabilities in this edition of OneNote. It currently uses the same codebase as the desktop application, but it also has some interesting features. One of these benefits is the ability to sync your notes with OneDrive and view them across the OneNote app on all of your devices, regardless of whether those devices are Windows-based or not (like iPhones) Take a look at the others listed below.

  • Notebooks should be shared with your coworkers, and notebooks should be worked on together at the same time. Make a recording of your inking and handwriting to offer step-by-step instructions or to better comprehend the flow of others’ thoughts. Make use of the Math Assistant so that OneNote can assist you in graphing or solving the problem step-by-step. Take pleasure in new ink hues such as rainbow, galaxy, and gold
  • Make use of a researcher tool to assist you with your work, such as finding quotations, articles, sources, and more. Make use of a reader that is immersive
